Overview

Caelen ("we", "us", or "our") operates the Caelen project management platform. This policy explains what personal data we collect, why we collect it, how we use it, and your rights regarding that data. We keep this simple and honest — just like our pricing.

Data we collect

We collect the following categories of data when you use Caelen:

• Account data— name, work email address, and password (hashed) when you register.
• Workspace data— projects, tasks, comments, meeting notes, and other content you create inside Caelen.
• Usage data— pages visited, features used, timestamps, and session duration to help us improve the product.
• Payment data— billing name, address, and last-four digits of your card, processed securely by Stripe. We never store full card numbers.
• Support data— messages you send to our team via email or the in-app chat.

How we use your data

• Providing, maintaining, and improving the Caelen platform.
• Processing payments and sending billing receipts.
• Sending product updates, security alerts, and support responses.
• Analyzing aggregated usage patterns to guide product decisions.
• Complying with legal obligations where applicable.

We do not sell your data to third parties. We do not use your workspace content to train AI models.

Data retention

We retain your account data for as long as your account is active. If you delete your account, we remove your personal data within 30 days, except where we are required to retain it by law (e.g., billing records for 7 years under financial regulations). Workspace content is deleted immediately upon account deletion.

Cookies & tracking

We use strictly necessary cookies to keep you logged in and remember your preferences. We also use analytics cookies (opt-in only) to understand how teams use the product. You can manage your cookie preferences at any time in our Cookie Settings.

Your rights

Depending on your location, you may have the following rights:

• Access— request a copy of the data we hold about you.
• Correction— ask us to fix inaccurate data.
• Deletion— request erasure of your personal data ("right to be forgotten").
• Portability— receive your data in a machine-readable format.
• Objection— opt out of certain processing activities.

Third-party services

We work with a small number of trusted sub-processors:

• Stripe— payment processing
• AWS— infrastructure and data storage (EU and US regions)
• Resend— transactional email delivery
• PostHog— product analytics (self-hosted, EU region)

Changes to this policy

We may update this policy periodically. When we make material changes, we will notify you by email or via an in-app banner at least 14 days before the change takes effect. Continued use of Caelen after that date constitutes acceptance of the updated policy.
